What's new in Vendset

New features and fixes, month by month.

New

  • A new home page that starts with what needs attention: tickets past their deadline, machines out of service, overdue tasks and contracts about to end. The previous dashboard is still there as the classic view.
  • Settings and Admin are now one place, with a single grouped menu you can search. On a phone the menu is its own screen with a back link.
  • A Plans and add-ons page shows what you are using against your limits. The free plan is now permanent and the 30-day trial has gone.
  • Organisation settings for country, currency, timezone and units, plus your business details: legal entity, registration number and VAT number.
  • Email to ticket: every organisation has a private address, shown in Settings. Mail sent to it becomes a ticket with the message and any pictures attached, or a task if the subject starts with [TASK].
  • Contracts: a Duplicate button makes a pending copy with a new contract number, so you can try out a contract before the real one goes to a customer.
  • Contracts: when a recipient asks for changes on the signing page, the salesperson and your admins get an email, and a reply goes straight to the customer.
  • Client portal: an "Onboarding & installation" section shows each installation's stages, estimated date and next step. Contracts and renewal offers waiting for a signature are listed, soonest deadline first.
  • Emails to your customers and team carry your business name instead of ours.
  • Free startup resources on this site: seven guides, four outreach templates and a startup calculator. Accounts with startup access also get a launch-planning workspace in the app.

Fixed

  • VendsetGO for iPhone: changing a ticket's status or creating a ticket failed with a server error.
  • Contracts: recipients who opened a PDF link were sent to the sign-in page, and change requests from the signing page were blocked.
  • Settings, Organisation showed "We couldn't load your organization".
  • The Notifications page crashed when you had any notifications, and it showed several switches that were never saved. It now shows only the settings that work.
  • An emailed fault report could be attached to the wrong machine when a word in the email matched part of a machine's name.
  • Planograms, stock take, stock, notes and calendar sometimes opened the public website instead of the app.
  • The Settings menu could not be scrolled on wide screens, so the lower groups were out of reach.
  • Sign-in: screen readers now announce the Email and Password fields.
  • Live demo: the nightly reset could leave the demo empty.

Fixed

  • Contracts created before December 2025 were missing from the contracts list for staff.
  • Several CRM pages failed to load.
  • People who belong to more than one organisation could land in different organisations from one page to the next. They now stay in the same one.

New

  • Proposals: a guided view takes your customer through package, drinks, add-ons and signature one step at a time. They can switch to the full document whenever they like, and you choose which view opens first.
  • Proposals: later signers get a short read-and-sign flow, because the choices have already been made.
  • Proposals: version history. Every named checkpoint and published version is listed, and any of them can be restored.
  • Proposals: see when each recipient opened their link and how many times, and copy a recipient's personal link to send it again by hand.
  • Proposals: a package line can show no price of its own, so a machine is priced by the fee lines beneath it. Fee lines are now edited under the item they price.
  • Proposals: choose which figures customers see for each drink set, and let them adjust the expected drink mix in the cost calculator.
  • Proposals: show or hide the questions panel and its answered questions, and delete a buyer's question.
  • Public proposals: one "Estimated monthly spend" card replaces two, the cost calculator is a compact table, and no package is marked as selected until the customer picks one.

Fixed

  • Printed proposals repeated the executive summary under two headings.
  • Proposal PDFs lost weekly, quarterly and yearly fee frequencies, and printed prices ignored the proposal's ex-VAT or inc-VAT setting.
  • Proposal PDFs squeezed line descriptions into a narrow column.
  • A recipient opening their link did not show on the Publish tab until the page was reloaded, and opens through a hand-shared link were not credited to the recipient.
  • The Send proposal form had a Recipients box that was ignored. It now shows the signing list the proposal goes to.
  • Some outgoing emails were rejected because of the sender address.

New

  • CRM: cadences keep track of progress. See who is on a cadence, complete a step or cancel.
  • CRM dashboard: charts for daily pipeline activity, reasons deals were lost and a funnel of open stages.
  • CRM: dragging a deal to Closed Lost asks for the reason. Deals can be filtered by owner, risk and stage.
  • Leads: filters for status, source and owner, a score column that explains itself, proper paging and a bulk "Assign owner" action.
  • Work queue: filter by record type, risk and owner, and snooze an item for 1, 3 or 7 days.
  • Delivery updates go out by email and push notification, and renewal offers are emailed to the client's contact with their link.

Fixed

  • Deleting an attachment or delivery photo left the file in storage.
  • Contract reports were missing machine counts and names.
  • Kanban columns did not show their stage colour.

New

  • Proposals: turn a quote into a proposal with packages, add-ons, planograms and a public link your customer can read, print and sign.
  • Proposals: a cost calculator section, VAT-aware pricing and drink sets per package.
  • Quotes: duplicate a quote.
  • Contracts: write terms in a formatted editor and download the contract as a PDF.
  • Scan a machine's QR sticker to open the machine and raise a ticket.
  • Renewal emails include the access password when the offer has one.

Fixed

  • Public proposals: planograms are larger and show prices, and equipment is listed inside each package instead of in a separate section.
  • Proposals now print cleanly from the browser.

New

  • Contracts: customers can read and sign through a public link, with an optional password.
  • Contracts: add a note to each machine on a contract. Assigned machines appear on the contract and in print.
  • Renewals: rolling terms, more than three options in an offer, and clause choices by service model.
  • A larger library of standard terms.

Fixed

  • Signed-in staff are no longer asked for the public password when opening a contract link.
  • Renewal offers print more cleanly.

New

  • Renewals: each option in an offer can propose its own machine changes.

Fixed

  • The app no longer reloads by itself when an update arrives. It tells you an update is ready.

New

  • Quotes: tax is worked out from each product's rate, with a breakdown when a quote has more than one rate.
  • Quotes: payment terms, postage and packaging, billing and delivery addresses picked from the account, and a reason when a quote is declined. Addresses carry through to sales orders and delivery notes.
  • Quotes: the summary stays in view as you scroll, and a copy of the quote can be attached to the email.
  • Sign in with a passkey.
  • Tickets: queues, automatic assignment, bulk actions and a view of who else is looking at a ticket.
  • CRM: chats with customers, cadences, a forecast and a work queue.
  • Contracts: auto-renewal, renewal offers with options side by side, a printable offer and six-monthly commission payouts.
  • Contracts: email or download a contract's details.
  • Products: several images each, and your own attributes such as colour or size.
  • Breadcrumbs on every page, and Settings in the main menu.

Fixed

  • Tax on quote lines was lost when the page was refreshed.
  • Products synced from Sage could arrive with a 0% tax rate.
  • Quotes and sales orders created without an account were missing from lists.
  • "No categories available" when editing a product, and product images that failed to load.
  • iPhones zoomed in whenever you tapped a form field.

New

  • Machines: a status summary you can filter by, saved views, export to CSV, a preview drawer, paging and keyboard shortcuts.
  • Tickets: filters for assignee, machine, client and deadline status, saved views, templates for common faults, keyboard navigation and merging of duplicate tickets.
  • Tasks: filters for assignee and machine, saved views and eight ready-made task templates.
  • Visits: export to CSV, and paging on the visits list.
  • Helpdesk for your customers: a step-by-step troubleshooter, error code lookup, ticket status check, a page for each machine's QR sticker, FAQs and voice input.
  • Offline working rebuilt: changes made without signal are queued and sent when you are back online. If someone else changed the same record, you choose which version to keep.
  • CRM: weighted pipeline forecast, lead scoring, follow-up reminders, win rate, and totals on each kanban column.
  • Contracts: automatic contract numbers with your own prefix, and an Archived status.
  • A first-run setup guide, a product tour and a simpler way to invite your team.
  • A public live demo.

Fixed

  • Changing the status of several contracts at once only changed one.
  • The dashboard sometimes failed to load, and its charts, widgets and count badges could show empty.
  • Setup could not be completed for some new accounts, and some were signed out straight after creating an account.
  • Photos on machine pages failed to load.
  • The Purchasing page returned "not found".
  • Pages could break after an update because old files were still cached on the device.
